Getting started

I just signed up. What's the fastest way to get going?

Your dashboard has a 15-step setup checklist in the bottom-right corner. Click any item to jump to where you need to be. Most coaches finish it in their first hour. Some steps are optional — skip what doesn't apply.

Do I have to finish the setup checklist?

No. You can dismiss it permanently with the X icon. If you change your mind, go to Admin → Show setup tips to bring it back.

I forgot my password.

Coach Partners doesn't use passwords. We use a one-time sign-in link via email (magic link) or your Google account. Just enter your email at coachpartners.app/login and we'll send you the link.

How do I change my name or timezone?

Admin page → Your coach settings. Display name, title, timezone, phone, and your Zoom / booking links all live there.

Working with clients

How do I add my first client?

Clients page → + New client. You only need a name and an email — everything else is optional. You can fill in more later from the client's profile or have them complete it via the intake form.

What's an intake form?

A short questionnaire your client fills out before your first session — date of birth, occupation, what they're navigating, what they'd build if nothing were stopping them. You can customize the questions at Setup → Intake form.

How do I send a client an intake link?

Open the client's profile and click Send intake link. Coach Partners generates a unique URL that:

  • Works only once
  • Expires in 14 days
  • Is tied to that specific client

Copy the URL or click Email to {client name} to open your email composer with the link pre-filled.

My client filled out intake but I don't see it — where is it?

Open their client profile and scroll to the Intakesection. If it's still empty, check the dashboard for a “new intake” alert in the last 7 days, or check the activity log at Admin → Activity log for an intake_submit entry.

Can I bulk-import clients from a spreadsheet?

Not yet. For now, add them one at a time through the + New client flow. If bulk import would unblock you, tell us — this is a likely v2 feature.

Running sessions

How do I start a coaching session?

Open the client's profile → click Start live session. You'll land in the live session view with notes, frameworks, and past sessions in one screen.

What's the 'Active goal' for?

A single sentence you and your client are working toward right now. It appears at the top of every session so you don't drift, and a short look-back on past sessions lets you check whether you're moving the needle. Update it anytime from the client profile.

Can I use Markdown in session notes?

Yes. Headers, bullet lists, bold, italics, and links all render. The notes area is plain text while you type — the formatting kicks in when you save or view past sessions.

Does Coach Partners record my video calls?

No.Coach Partners doesn't touch your video platform at all. It's just a notes-and-records tool. Your Zoom / Meet / phone call happens wherever it normally happens; you take notes in Coach Partners alongside it.

I'm in the middle of a session and lost connection — did I lose my notes?

Notes auto-save every few seconds while you type. If you refresh the page or briefly lose connection, your work is already saved. If something does go missing, check the activity log — every session update is logged.

What's 'next steps' for?

Action items the client commits to before your next session. They show up at the top of the next session view as “From last session · next steps you committed to”so you can open with a check-in instead of asking “wait, what did we say last time?”

What's the self-rating after a session?

A private 1–10 rating of yourcoaching for that session, plus optional reflection notes. Visible only to you — even other coaches in the same org can't see it. Useful for tracking your own development over time.

Calendar + reminders

How do I connect my Google Calendar?

Coach Partners reads upcoming sessions from a private iCal URL:

  1. In Google Calendar, click the gear icon → Settings.
  2. Pick the calendar you use for client sessions in the left sidebar.
  3. Scroll to Integrate calendar → copy the Secret address in iCal format (ends in /basic.ics).
  4. In Coach Partners, paste it into Admin → Google Calendar iCal URL.

We also recommend setting an Event title containsfilter (like “Coaching with”) so personal events stay off your dashboard.

When are client reminders sent?

24 hours before each session by default. You can change the timing (1–168 hours) and the email template at Admin → Client reminder emails. Reminders only send to clients whose name appears in the calendar event title and who have an email on file.

Can I customize the reminder email?

Yes. Admin → Client reminder emails has subject and body fields you can edit. You can drop in placeholders like:

  • {client_first_name} / {client_name}
  • {coach_name} / {coach_title}
  • {session_date} / {session_time}
  • {practice_name}

Leave the fields blank to use the defaults.

Frameworks and resources

What's a framework?

A repeatable structure you reference during sessions — GROW, 7 Levels of Why, a values exercise, a custom one you've built. Frameworks show up in the live session sidebar so you can pull one up mid-conversation without leaving the page. Add them at Frameworks.

What's the difference between a framework and a resource?

Frameworks are session structures — the ones you run with a client live. Resources are links you share with clients — an article, a tool, a worksheet. Both sit alongside your notes in the live session view.

EAP + billing

What's an authorization?

An EAP (Employee Assistance Program) approves a client for a fixed number of sessions at a specific rate. An Authorization in Coach Partners tracks one of those approvals — the authorization number, EAP source, total sessions, rate per hour, and start/end dates.

How do I track sessions used vs. authorized?

Each session can be linked to an active authorization. As you log sessions, the auth's usage counter increments automatically. The dashboard surfaces authorizations expiring soon or running low on remaining sessions.

Can clients pay me directly through Coach Partners?

Not yet. Coach Partners tracks billing models (EAP, monthly retainer, pay-per-session, packages, free) and surfaces invoice status, but payment collection happens through your own Stripe / Square / wire / cash setup. Direct payment collection is a likely v2 feature — ping us if you'd use it.

Your data

Who owns my data?

You do. Coach Partners stores and processes it on your behalf as a data processor — we don't sell it, share it, or train AI on it. Read the full position at /terms.

How do I export my data?

Admin → Your data → Download JSON or CSV bundle. JSON is the cleanest format — one file with every record nested under one object. CSV is a zip of one file per table, friendlier for spreadsheets. Encrypted fields (session notes, intake responses, synopsis) are decrypted in the export so you get plaintext.

How do I delete my practice?

Admin → Danger zone→ Delete practice. You'll need to type your practice name to confirm. Deletion is permanent and cascades across every org-scoped table (clients, sessions, intake, frameworks, billing, memberships).

Are my session notes encrypted?

Yes — at rest. Session notes, intake responses, assessment data, and client synopses are encrypted with AES-256-GCM using a key only Coach Partners holds. Self-ratings are also encrypted and visible only to the coach who recorded them.

Troubleshooting

My calendar isn't showing events on the dashboard.

Check, in this order:

  • Admin → coach settings — is the iCal URL pasted? It should end in /basic.ics.
  • If you set an “Event title contains” filter, do any upcoming events actually contain that text? Case doesn't matter, but the substring must match.
  • Recurring events are intentionally skipped in this version. One-off events only.

My intake link expired — what now?

Open the client's profile and click Regenerate intake link. A fresh 14-day link replaces the old one (the old one stops working).

Google sign-in isn't working.

Try the email magic link instead — same destination, no Google account required. If Google specifically is broken for you, the most common cause is an aggressive privacy extension blocking accounts.google.com/gsi/client. Disable for coachpartners.app or use email.

I dismissed the setup checklist but want it back.

Admin → Show setup tips(only visible when you've previously dismissed). One click brings the checklist back exactly where you left it.
